Smart Documents privacy policy

Scope and publisher

Effective 14 October 2026. This policy applies only to Agente Smart Documents, its hosted document service and its Codex/ChatGPT plugin. Agente Dev LTD, Nir Israel, Israel, operates it. Other Agente products have separate privacy policies.

Data and purpose

We process your Agente account identity, email, active office membership and connection permissions to authenticate you and scope access. At your request, we process templates, chosen DOCX examples, field definitions and answer text to create Word files. We keep generation identifiers, revisions, file hashes, timestamps and successful-generation counts to protect retries, enforce access and operate downloads. Independently initiated billing creates subscription and payment-reference records.

Excluded data

Use non-sensitive business documents. Do not submit payment-card details, protected health information, government identifiers, passwords, API keys or other authentication secrets in templates, examples or answers. Account passwords are entered only in the browser sign-in form and sent to Agente’s authentication provider; the document tools do not request them. Card entry for independently initiated website payments is handled by PayPlus, outside the plugin.

Recipients and processing

Authorized office members share current templates and generated documents. Agente uses Vercel for hosting and Supabase for account authentication, private database and object storage. PayPlus processes independently initiated website billing. Codex/ChatGPT receives only the template details, answer snippets and results chosen for the requested workflow; its processing is governed by your OpenAI account terms and settings. Hosting and provider processing may occur outside your country. Agente does not read the full chat history or transmit documents to a separate model service.

Retention

Temporary uploads expire after 10 minutes. Saved templates and their original Word carriers remain until an authorized office user deletes them. Generated Word files become unavailable after 24 hours; scheduled cleanup removes expired stored bytes. We retain generation metadata for the office account’s lifetime for access and retry accounting, and billing records for applicable accounting and legal requirements. Connection grants and refresh credentials expire within 30 days, access credentials within one hour and browser billing sessions within ten minutes; expired connection records are removed by scheduled cleanup. Agente does not create a separate saved-answer or draft record. Answer substitutions remain in generated files and in the chat controlled by your AI client.

Operational logs and backups

Infrastructure may process request timestamps, IP addresses, error/status information and security logs to deliver and protect the service, under the hosting providers’ configured retention. These are not used for advertising or behavioral profiling. We do not intentionally log document bodies, answers or passwords. Deletion from active storage does not promise immediate removal from provider backups or records we must retain by law.

Your controls

Choose which office and documents to connect. You can edit or delete the current template, save your DOCX locally, and disconnect the plugin through your AI client. Removing office membership prevents further authorized tool access. Ask support@agente.dev for account/office data access, correction, export or deletion. We verify your authority and explain any required retention. There is no public document link: download links are scoped and short-lived.
